How does GotPhoto work?


GotPhoto makes school photography simple, secure and easy to manage. Pupil information such as name, class and parent contact details is collected securely through the school and used only to match photographs with the correct child and family. Parents then access a private online gallery to safely view and order their photographs. Trusted by school photographers worldwide, GotPhoto provides a secure, professional platform that helps protect children’s images and personal information while keeping administration simple for schools.

What about GDPR?


GDPR is taken seriously throughout the process. When the school provides pupil information to me for photography, the school remains the Data Controller, while I act as a Data Processor and GotPhoto acts as my Sub-Processor. Data is handled only for the agreed purpose of school photography, with appropriate security measures in place. GotPhoto provides a Data Processing Agreement (DPA) specifically for this purpose, helping ensure that everyone involved understands their responsibilities and that pupil information is handled safely and in accordance with GDPR.

What happens afterwards?


Once the photography and ordering process is complete, pupil information is not kept indefinitely. All information gathered is securely archived and retained only for the period required for legitimate operational or legal purposes. Once that retention period has been reached, the information is securely deleted in accordance with our data protection procedures and GotPhoto’s own deletion processes. This means schools can have confidence that pupil information is not simply left sitting on systems indefinitely and is managed responsibly from collection through to deletion.
